This instruction describes the steps on how-to safely request input filesinto your project (sinput) on our Trusted Research Environment (TRE). This instruction applies for all projects hosted within the TRE, when requested by any Approved Data User.

  1. Requests must be sent from an approved data user. This means only authorised user accounts. Requests will not be accepted from any external emails. This includes Gmail and Hotmail/Outlook.

  2. The Support ticket must contain a subject title with ‘data input request for’ and the project name/number where you want the data to be input to

  3. In the body of the ticket, please state your reason and source of the data. Please provide any relevant links or sources:

    1. If your request is a AI/ML model related, please refer to https://hicservices.atlassian.net/wiki/x/AYDODg

    2. Data and datasets will be transferred by the HIC Data Analyst through an agreed process

  4. Please Cc in the project PI as approval is required for any data input

  5. Please copy and paste the following template into the body of you request and mark an 'x' where applies:

    1. Your file is:

      [ ] - Trained model
      [ ] - Python, R, MatlabMATLAB, SAS, SPSS, etc scripts or code files
      [ ] - Open source / publicly available dataset
      [ ] - Packaged software or binary
      What is the source of files?

      [ ] - A public Git repository or website not affiliated with me or the project
      [ ] - A private/temporary download link or attachment by email
      Does it contain...

      [ ] - identifiable information
      [ ] - individual-level information
      Finally, you confirm,

      [ ] - you are authorised to request the ingress of this file or have completed a Data Sharing Agreement.

🔍 The contents of the data must be readable. Content cannot contain any individual level data e.g. PROCHI. If there is any doubt around the file’s contents, then these requests will be referred to a Data Analyst for their verification and approval.

⌛ Expected time lines

Input requests are only assessed on week days and may take 1-3 days to be approved for simple file requests (i.e., summary reports, tables etc.). More complex input requests such as Artificial Intelligence/ Machine Learning (AI/ML) models may take significantly longer.
